COVID-19 POLICY
ESSCIRC ESSDERC Organizing Committee is strongly committed to hold an in-person Conference. 

We are putting in place all necessary measures to protect the health & safety of participants and staff.

Covid-19 indoor capacity limitations force us to offer a limited number of seats: a first-come-first-served basis will be applied for in-person conference registrations. 

​

In case the in-person Conference could not take place for reasons of “force majeure” (including international travel bans connected to Covid-19 pandemic or for any reason beyond the control of the Organizing Committees, the in-person registration will be automatically switched to the "online" registration fee and extra cost will be reimbursed (WHEN?)

 

 

REGISTRATION POLICY

Educational Events will be available only online, the Conference will be available both in-person and online, therefore you will be able to register for:

• In-person Conference only

• Online Conference only

• Online Educational Events only

• In-person Conference and Online Educational Events

• Online Conference and Online Educational Event

• In-person Conference and Online Conference. In this case feel free to ask for a 15% discount coupon to before registering.

Registrants will be able to access the online events from Monday, September 6, 2021 (time tba) until October 4, 2021. Then online events will conclude and on-demand access will end. Information about how to access online events will be posted in due time.

If you register for an online event after September 6, 2021, please allow at least 3 business days for your virtual access to be enabled. 

 

The registration form for the in-person Conference will be available until August 29,2021 (23:59 CET) as Covid-19 regulations doesn't allow onsite registrations.

The registration form for the online events will be available until September 30, 2021 (23:59 CET).​

 

DEADLINES

 

We realize that during these uncertain and ever-changing times, it is difficult for attendees to take a long term decision or choose how they would like to experience this year’s ESSCIRC ESSDERC – whether to join us in-person or attend virtually.

With this in mind, we are delighted to announce that registration fees will not be subject to a price increase. 

 

PAPER AUTHORS

 

In order to guarantee inclusion in the final conference program one author must be registered by JUNE 30, 2021 the author deadline.
For each paper independently, at least one co-author is required to register for the Conference (one registration-one paper policy).

The Conference Organizing Committee expects every speaker in a scheduled presentation to register and attend the conference (either online or in-person). If it becomes necessary for a speaker to cancel a presentation, he or she must try to find another presenter immediately, preferably a co-author. Contact the Conference Organizing Committee immediately for any change to a scheduled presentation.
A “no-show” or cancelled presentation can cause serious inconvenience to the attendees and conference organizers. The committee thanks all speakers in advance for their compliance with this request.

 

CONFERENCE FEES

 

Online Conference registration fees include:

• Access to all Conference Sessions

In-person Conference registration fees also include:

• Morning and afternoon coffees as in the final program

• Lunches as in the final program

• Welcome Cocktail on September 7, 2021

• Gala Dinner on September 8, 2021

 

• ​Additional Welcome Reception ticket for accompanying person: € 30,00

• Additional Gala Dinner ticket for accompanying person: € 95,00

Due to Covid-19 regulations, it will not be possible to buy additional tickets at the conference venue.

PAYMENTS - cancellation policy - INVOICE

Students must upload a proof of their student status in the registration form. Student registration is available for undergraduate, graduate and Ph.D. students only. The student rate is not available for post-doctorates.

INVOICE

Registration Fees are in Euro and include 20% French VAT.

The invoice will be issued after the payment is received and mailed to your e-mail address in pdf format.

If your payment is subject to the receipt of our invoice, please send a message to .

Please make sure to type the correct invoice billing address!

A handling fee of 25% of the invoice total will be withheld in case a new invoice with amended data is requested.

PAYMENTS

Fees must be paid in Euro (€) to Sistema Congressi by credit card (Visa, Mastercard, Maestro, American Express, PayPal) or bank transfer. Xpay, the online payment system of Nexi (our payment platform) guarantees the security of the transaction.

If you prefer to pay by bank transfer, you should complete the registration form first. Bank transfer details and instructions are included in the registration confirmation email.

Please note that admission to ESSCIRC ESSDERC 2021 cannot be guaranteed unless full payment has been received. Where payment is still pending or delayed, registrations will be automatically cancelled without prior notice.

 

CONFIRMATION EMAIL

Once you have completed your registration, you will receive an automatic registration confirmation from  with the summary of the selected options. If you do not see the email in your inbox then please be sure to check your spam folder in case it got flagged as spam.

If you do not receive this email, either your email was entered incorrectly or your registration is not complete. If this happens, please contact    and do not re-register until further instructions.

TERMS and CONDITIONS

In case of cancellation of the in-person events (Conference) for reasons that are beyond the control of the Local Organizing Committee, the in-person registration will be automatically switched to the "online" registration fee and extra cost will be reimbursed. Neither the Local Organizing Committee nor the ORGANIZING SECRETARIAT shall be held liable for any other costs or losses incurred, such as transportation costs, accommodation costs, financial losses, etc. Delegates are highly encouraged to provide for their own insurance policy covering such events.

 

If you cancel your in-person attendance for any personal reason before July 30, your registration will be switched to online registration and extra cost will be reimbursed. No refund will be possible in case of no-show at the in-person Conference.

Registration fees for ONLINE ATTENDANCE will not be refunded as all online events (Educational Events/Conference) will be availbale on line for at least a month after the in-person Conference (Grenoble, September 6-9, 2021).

 

ESSCIRC ESSDERC 2021 contents shall be recorded and will be accessible to registered Participants

By participating in ESSCIRC ESSDERC 2021 hybrid edition, you acknowledge and agree to grant ESSCIRC ESSDERC 2021 the right to record, film, live stream, photograph, or capture your likeness in any media now available or hereafter developed and to distribute, broadcast, use, or otherwise globally to disseminate, in perpetuity, such media without any further approval. This grant to ESSCIRC ESSDERC 2021 includes, but is not limited to, the right to edit such media, the right to use the media alone or together with other information, and the right to allow others to use or disseminate the media.
